Fields marked as required are necessary for us to receive and respond to your request. If you do not provide required information, we may be unable to respond.

Please do not send sensitive personal data, confidential third-party information, government identification numbers, financial account information, health information or information that is not necessary for your enquiry.

4. How and Why We Use Personal Data

We may use personal data to:

  • operate, maintain and secure the Site;
  • receive, review and respond to enquiries;
  • provide product, sample, catalogue, technical or quotation information;
  • assess project requirements and communicate about a current or potential business relationship;
  • send and receive project drawings, reference images and other requested files;

  • detect and prevent spam, fraud, abuse, security incidents and technical problems;
  • establish, exercise or defend legal claims;
  • comply with legal, regulatory, tax, accounting or reporting obligations; and
  • manage a corporate transaction or business reorganisation.

Where the EU GDPR or UK GDPR applies, our legal bases may include:

  • steps requested before entering into a contract or performance of a contract, such as responding to a product or quotation enquiry;
  • legitimate interests, including operating a B2B website, responding to business enquiries, maintaining business relationships, improving our services, securing our systems and protecting legal rights;
  • consent, including for optional analytics technologies or marketing communications where consent is required; and
  • compliance with a legal obligation.

Where processing is based on consent, you may withdraw consent at any time. Withdrawal does not affect processing that occurred before withdrawal.

5. Project Enquiries and Uploaded Files

Our project enquiry form may accept PDF, JPG, JPEG and PNG files. If you upload a drawing or reference image, we use it to understand and respond to the relevant enquiry.

Form submissions may be:

  • delivered to our designated business email account;
  • stored in our WordPress website database;
  • included in website backups and security logs; and
  • accessed by authorised personnel and service providers where reasonably necessary to operate the Site or respond to the enquiry.

The email generated from the form may include your IP address, the page from which the enquiry was submitted, and the submission date and time.

Only upload files you are authorised to share. Do not upload personal data or confidential third-party information that is not necessary for the enquiry.

6. Cookies, Analytics and Similar Technologies

The Site uses cookies, tags and similar technologies for necessary website functions, security and analytics.

6.1 Necessary Technologies

Necessary technologies may support:

  • website security and bot protection;
  • network management, caching and load balancing;
  • form operation and spam prevention;
  • consent preferences; and
  • administrative login and website management functions.

6.2 Google Analytics

We use Google Analytics, implemented through Site Kit by Google, to understand how visitors find and use the Site and how the Site performs. Depending on configuration and your consent choices, Google Analytics may process cookie identifiers, IP-derived approximate location, device and browser information, page views, interactions and performance information.

We do not intentionally send the contents of project enquiry forms or uploaded files to Google Analytics.

Where applicable law requires consent, optional analytics technologies are activated only after you choose to allow the relevant category. You can accept, reject or manage optional technologies through the Site’s cookie banner or cookie settings. You can change your choice later through the cookie settings link.

You can also manage cookies through your browser. Blocking necessary technologies may affect certain Site functions. Blocking optional analytics should not prevent access to the Site’s main content.

Further information about the current cookies, providers, purposes and durations is available in the Site’s Cookie Policy and cookie settings panel.

7. When We Disclose Personal Data

We may disclose personal data where reasonably necessary for the purposes described in this Policy to:

  • authorised employees and personnel who need the information for their work;
  • website hosting, content delivery, caching, security, backup and technical support providers, including SiteGround;
  • analytics and tag-management providers, including Google where the relevant services are enabled;
  • email and communications providers used to receive and handle enquiries;
  • contractors, consultants, distributors or other project participants where necessary to respond to a request or support a project;
  • accountants, auditors, insurers, lawyers and other professional advisers;
  • courts, regulators, law-enforcement agencies and public authorities where disclosure is required or permitted by law;
  • a prospective purchaser, investor or successor in connection with a merger, acquisition, financing, reorganisation or transfer of all or part of our business; and
  • another person where you request or consent to the disclosure.

We require service providers acting on our behalf to process personal data only for authorised purposes and to protect it appropriately, subject to applicable law and contract.

8. International Processing and Transfers

We are based in Hong Kong. Personal data submitted through the Site may therefore be processed in Hong Kong.

Our hosting, analytics, communications, security and other service providers may process information in other countries. Those countries may have data protection rules different from those in your country.

Where applicable law restricts an international transfer, we use an appropriate transfer mechanism or safeguard where required. Depending on the circumstances, this may include contractual protections, the European Commission’s Standard Contractual Clauses, the relevant UK transfer mechanism, an adequacy decision or another legally recognised safeguard.

You may contact us for further information about safeguards applicable to a particular transfer.

9. Retention

We retain personal data only for as long as reasonably necessary for the purposes for which it was collected, including to meet legal, accounting, tax, contractual, security and dispute-resolution requirements.

Retention is determined by factors including:

  • the nature and status of an enquiry or business relationship;
  • whether the information is needed to provide requested products or services;
  • the sensitivity and amount of the information;
  • applicable limitation periods and legal record-keeping duties;
  • the need to prevent fraud, abuse or security incidents;
  • configured retention periods within hosting, analytics, backup, email and website systems; and
  • whether information can be deleted or anonymised.

Enquiry correspondence and uploaded project files may be retained while we respond and for a reasonable period afterwards to manage the business relationship and maintain appropriate records. Information relating to an established customer, supplier or project relationship may be retained for a longer period where necessary for contract, warranty, tax, accounting or legal purposes.

When personal data is no longer required, we take reasonable steps to delete or anonymise it, subject to technical backup cycles and legal retention requirements.

10. Security

We use reasonable administrative, technical and organisational measures intended to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access.

No Internet transmission, website or storage system is completely secure. Do not send information through the Site that is unnecessary or highly sensitive. If you believe information you provided may have been compromised, contact us promptly.

11. Direct Marketing

We may send product news, company updates or other B2B marketing communications only where permitted by applicable law.

Where notice or consent is required, we will provide the required information and obtain the required consent before using personal data for direct marketing. Consent to marketing is not required to submit an ordinary project enquiry.

You may opt out at any time by using the unsubscribe method in a marketing message or emailing kyle@lopoterracotta.com. Opting out of marketing does not prevent necessary communications concerning an existing enquiry, transaction or business relationship.

12. Your Privacy Rights

Your rights depend on your location and the law applicable to the processing. Subject to applicable conditions and exceptions, you may have the right to:

  • ask whether we hold personal data about you;
  • request access to personal data and information about its use;
  • request correction of inaccurate or incomplete personal data;
  • request deletion of personal data;
  • request restriction of processing;
  • object to processing based on legitimate interests or to direct marketing;
  • receive certain personal data in a portable format;
  • withdraw consent where processing is based on consent;
  • opt out of certain disclosures or uses where applicable law provides that right;
  • complain to an applicable data protection authority; and
  • exercise other rights granted by applicable law.

To make a request, email kyle@lopoterracotta.com and describe the request and the information concerned. We may ask for information reasonably necessary to verify your identity and authority. We will respond within the period required by applicable law. Some rights are subject to exceptions.

Hong Kong

Under Hong Kong’s Personal Data (Privacy) Ordinance, you may request access to and correction of your personal data. You may also contact the Office of the Privacy Commissioner for Personal Data, Hong Kong.

European Economic Area and United Kingdom

Where the EU GDPR or UK GDPR applies, you may exercise the applicable rights described above and may lodge a complaint with the supervisory authority in the country where you live or work, or where you believe an infringement occurred.

Other Jurisdictions

Residents of other jurisdictions, including certain US states, may have additional rights under applicable privacy law. We will honour verified requests to the extent required by the law applicable to us and the relevant processing.

13. Children

The Site is intended for business and professional audiences and is not directed to children. We do not intentionally request personal data from children through the Site. If you believe a child has provided personal data without appropriate authorisation, contact us so that we can review the circumstances.

The Site may contain links to or embedded content from third-party websites and services. Those third parties may collect information when you interact with their content. We do not control their independent privacy practices and encourage you to review their policies.

Where required, third-party content that uses optional cookies or tracking technologies will remain blocked until the relevant consent is given.

15. Changes to This Policy

We may update this Privacy Policy to reflect changes in our practices, technologies, service providers or legal obligations. The revised version will be posted on this page with an updated “Last updated” date. Where required by law, we will provide additional notice or request consent before a material change takes effect.
